EOI for Luminous Artists

Deadline for submission: Thursday 8 May 2025 (COB)

• Gain exposure and showcase your artwork to a large audience over three nights.
• Engage and inspire the Gladstone community through innovative and interactive art.
• Preference will be given to installations that reflect the Gladstone Region’s culture and landscape.

Gladstone Regional Council invites local artists to put forward a proposal to activate an area within the Tondoon Botanic Gardens with light that will engage the community. The activation should be an exciting concept that is new to the event and compliments the large-scale event (example 5 x 5 metres), in size and wow factor.

Modifications to previous submissions from local artists will be not be considered. Activations must aim to increase community engagement whilst adding an illuminated element to the event that is practical or decorative. Activations that relate to or reflect on the Gladstone Region are preferable.

The Request for Services is flexible to the submitter’s ideas, capabilities, and their capacity to deliver. Brand placement is negotiable upon request.

Please reference the requirements of the Request for Services below and outline the vision and scope of your activation in writing by COB Thursday 8 May 2025.

The Expression of Interest requires the candidate to:

• Develop and deliver an illuminated activation for Luminous on Thursday 17, Friday 18 and Saturday 19 July 2025 (activations must be set up by 5pm Wednesday 16 July, to be ready for the Luminous test night)
• Activation must be activated all three nights of Luminous, from 5:30pm-9:30pm
• AUD Batteries - certified batteries and electrical lighting is mandatory. All Lighting installations must comply with Australian safety standards.
• Outline in detail the level of community engagement expected from the activation.
• Outline in detail the large-scale activation and how it will complement the large-scale event.
• Ensure the installation is illuminated or lit with internal/external lighting, to enhance the viewer’s engagement.
• Consider environmentally sustainable practices in both execution and display of activation.
• Explain the considerations around safety for the activation.

To submit your interest, please outline/provide the following:

• Proposal of activation with concept brief, graphics, renders or artistic drawings.
• A detailed budget or proposed fee, including breakdown of materials and costs or in-kind sponsorship for activation – please detail material costs.
• Any support required from Gladstone Regional Council (e.g. infrastructure, site access, power)

Preference will be given to proposals that highlight or celebrate the Gladstone Region its landscape, culture, or identity and that complement the large-scale light and art event. Proposals must be achievable within the allocated budget or allow for in-kind sponsorship. In-kind sponsorship with brand placement is negotiable. Projects that incorporate eco-friendly materials and offer high levels of interactivity are strongly encouraged.

Proposals must be received by COB Thursday 8 May 2025.
All applicants will be contacted by COB Monday 12 May 2025.

Submission of a proposal does not automatically guarantee acceptance for Luminous.
